Lunch Program
The Woods Charter School Lunch Program was created by and is supported entirely by the PTSA and parent volunteers, with all proceeds going to the school. Please consider joining our crew of lunch volunteers to help keep our children healthy and happy. We'd love to hear from you! Lunch is offered every full school day and must be pre-ordered. Instructions for ordering lunches are listed below under the heading "Woods Lunch Online User Guide". Our current lunch vendors include Torero's, Harris Teeter (sushi and subs), Chick-fil-a, Domino's, Olde BBQ and the General Store Cafe.
A la carte items can be purchased every school day during lunch. Examples include: juice, yogurt, applesauce, dried fruit snacks, chips, granola bars and Amy's burritos. Several microwaves are available for student use.. If you'd like to know more about what is offered in a la carte, please contact Susan Breen at sbreen@woodscharter.org. To purchase a la carte items, each child (or family) must create a pre-paid account in increments of $25.00. The lunch staff will deduct purchases from the account and alert your family when the account runs low. Checks can be sent to school with your child and given directly to Susan Breen during lunch, or left at the front office addressed to Susan's attention.
Milk (plain 2% or lowfat chocolate) is purchased on a yearly plan. For the 2011-2012 school year, the price is $40 for the entire year. The milk is distributed to participating students at lunch time. For more information please contact Kim Rossi at krossi@woodscharter.org.
If your child misses school due to illness or any other unexpected event, you will not receive a refund, as the PTSA needs to receive reimbursement for the lunches that have already been purchased from the vendor. Please consider it a donation to the Woods PTSA! However, if you know that your child will be on a field trip or you have a planned absence, you can make changes to your order onwww.woodslunchonline.org and receive credit for cancelled meals.
Woods Lunch Online User Guide
Welcome to Woods Lunch Online, your gateway to school lunches! The Woods Charter School PTSA is committed to providing our students with quality lunches at an affordable price. Starting in August 2011, school lunch orders are placed through Woods Lunch Online. To use this new website you must first create an account. Step-by-step instructions follow to help you get started.
Step 1: Request an Account
● Simply go to www.woodslunchonline.org and click on “Request an Account”
● Set up an account for each of the students you will be ordering for. If you will be ordering lunch for yourself (teachers, staff, volunteers) just fill out your name and leave the student information blank.
● Your request will be sent to the system administrator. Once you have been verified as a member of the Woods Charter School community, you will receive an email with a link to the Woods Lunch Online password set-up page. This may take up to 72 hours.
Step 2: Activate Your Account
● Follow the link sent to your email account. You will be asked to set up a password.
● You are now ready to start ordering lunches! Lunch ordering begins August 22, 2011; the first day of hot catered lunch is September 6, 2011. A la carte service begins August 29, 2011.
Step 3: Order Lunches
● Your home page lists the students registered to your account, as created in Step 1. Click on a student to order their lunches.
● You will now see a calendar menu. Select a month, then select menu items, indicating quantity with the drop down box. You must click “Place Order” after filling out your selections for the month before moving on to a new month. Clicking on “Place Order” will take you back to the home page with a message stating that your order has been successfully placed. Changing months before clicking “Place Order” will result in loss of data. If you want to place orders for multiple months, you must reselect the student, click on “Order lunch for <student name>” again and navigate months by using the arrows at the top of the page.
● NOTE: Beginning August 22, 2011, you may order lunch for the month of September only. Later, you will have the ability to order lunches as far in advance as you’d like (see Step 4 for information regarding cancellations, changes, and black-out periods).
● You have now accrued an account balance; the amount is listed under the student’s name. Select your method of payment by clicking on a payment option next to the balance due.
○ Pay by cash or check (for no additional fee) by sending payment to school with your child in an envelope marked “PTSA Lunch Program”. Your student’s homeroom teacher will make sure the envelope gets to the office. Alternatively, you can mail the payment to: Woods Charter School, 160 Woodland Grove Lane, PO Box 5008, Chapel Hill, NC, 27514, or drop it off directly at the office. When your payment is received your account will be updated to reflect the new balance.
○ Pay with credit card via PayPal for a fee of 2.5% of your order. When you select credit card as your payment method, you will be taken to the PayPal site for processing. The PayPal feature will be available in mid-September.
Step 4: Managing your account (Cancellations, Changes, Black-out Periods)
● Forgot the dates for which you ordered lunches? Log into Woods Lunch Online with your password and click on a student to see the calendar with their current order, and then print it out for your convenience.
● Should you need to cancel a lunch or make changes, simply log into Woods Lunch Online with your password, select the student, and make the changes on the calendar. Click “Place Order” at the bottom of the screen. Our records will be updated with your changes. Don’t forget to print out the new lunch schedule! If the changes altered your balance due, you will see that reflected on your home page. If your balance was at $0.00 and you cancelled a lunch, your new balance will show a credit due.
● If you log into Woods Lunch Online after 11:59pm on any given Friday, you will NOT see the following week on the calendar. Orders must be placed before 11:59 on Fridays to show up in our lunch report. There are no exceptions to this policy. If the cut-off time is missed, your student can still obtain a lunch through our a la carte program. A la carte lunches are available every day for purchase with an a la carte account. Pre-ordering is not necessary, but you must pre-pay for an a la carte card in increments of $25.
